Smart pump oversight structure

Can anybody be share an organizational structure/process that has worked well for you to have adequate oversight of your smart pumps-
Ranging from keeping up to date contracts, IT components such as wireless certificates, current versions etc.
We do a good job of library management but it’s the other pieces that seem to lapse or fall between the cracks.
Who manages this and what structure do you
have in place to stay up to date with everything?
